The meeting was called to order at 3:40pm. by George S., President. George introduced and welcomed our guests in attendance Chris & Carolyn C., friends of Stan Una Mc's. Ronnell K., friend of Carol M. visiting from AZ.
George then asked Carol M. to advise the club about the new members who joined our club at our last meeting/outing at Tapo Canyon in February. Carol stated that there were four new individuals who joined, one couple and two friends, totaling three rigs. Following the club meeting at Tapo, Carol got together with the new members and discussed details of our club and answered any questions they had. She has since updated them on future outings and stated that they prefer to travel to more local destinations. Jess G. stated all four new members were interested in attending Camp Comfort in June.
George asked for approval of last month's Meeting Minutes from Tapo Cyn. Iris S. moved to approve the minutes, Jess second, members in agreement.
Treasurer's Report: Ron S. advised members that after expenses the club's bank balance is just over $4,000. Ron then brought up the $10 per rig, dinner fee. He said that this is really a surcharge fee and not a dinner fee that has been added on, included in campout cost to assist the club's bank balance from falling too low, and that over the last several months has caused confusion. Also, Ron is hoping to avoid receiving multiple $10. checks from members in the future. Much discussion was had over this topic.....
The $10 fee should just be added on, included in the quoted price to members by wagonmaster hosting the outing.
There should never be a need to bring up, "plus $10 fee" UNLESS the campout is for a location where each individual/rig needs to make their own reservation, such as Pechanga or Big Bear...
When reserving your spot on a future campout, your payment should always be sent to the Treasurer, unless otherwise specified for that particular campout.
Wagonmaster SHOULD NOT collect money, deduct their expense for the dinner and send the remaining balance to the Treasurer.
Ron suggested that whenever members "Reserve On Your Own" for a future campout, the $10 surcharge fee should be collected by the wagonmaster at the campout for that event, at the very latest.
If an individual is sending a check to Ron anyway for another trip, including the $10 fee for a separate "Reserve On Your Own" trip, clearly labeled as such on the check, will be very helpful and appreciated.
Carol suggested keeping a minimum bank balance of $2000 as a safety net for future expenses.
Iris suggested naming the fee, "Club Treasurer Surcharge Fee".
George made a motion:
1) To name this fee, Club Treasurer Surcharge Fee
2) That it is not a dinner fee but to help support the club's bank balance from dropping too low
3) That the $10 Club Treasurer Surcharge Fee is per rig and not per individual
4) That wagonmasters include this fee when calculating cost per outing to quote to members
A vote was taken by members in attendance. 15 voted in favor of the above motion, 3 opposed the above motion. Motion was approved by a majority.
Ron asked everyone to review his accounting sheet that was handed out, of the money you have paid the club. If you have paid for something and it's not listed, or see an error please advise Ron. Also, if you have a credit on account, please advise him to apply to a future campout for you. This helps to assure an accurate club bank balance for future expenses.
George thanked Stan & Una for a great job arranging and communicating to the club this camping event.
Future Campouts:
April 3,4,5,6 - Pechanga in Temecula. George said this is an on your own campout. Only 4 are attending so there is space available due to some not able to attend. If you are interested you must contact George now to attend.
April 29 & 30 - Paso Robles. Flora said there is still space available for this outing. George mentioned that "The 3 Speckled Hens" event will be held that weekend at the Fairgrounds. It's a huge antique, thrift, craft show.
June 10 & 11 - Camp Comfort in Ojai. Leanne S. said there are 4 sites still available so if interested contact her now please. She will need to release unused sites a week before the 10th. Other sites in the campground are sold out. There is a Music Festival in Ojai that weekend. She suggested that anyone musically inclined to bring their instruments for our own Music Fest on Saturday night.
July is Dark
August 7, 8, 9 Big Bear. This outing is on your own reservations and had to have been made 6 months ago, so sorry, unless there is a last minute cancellation, this is full. Connie H. said they will plan on a Taco Fest.
September - Linda N. may be looking into or open if anyone is interested in hosting.
October 4,5,6 - Pismo Coast Village. Carol is the wagonmaster. There are no sign ups yet. Stan said that this is a premium, high end place that he and Una have enjoyed.
November 8,9,10 (Please Note: correction of dates) - Valencia Travel Village. Jim B. said we will not be returning to Flying Flags this year.
December will probably be Dark
New Business: George advised members Todd & Renee A. have decided not to renew their membership with the group due to their busy, retired schedules taking them in other directions.
He read a short message from Todd stating that they enjoyed their time with the club.
Jess G. announced that he and Martine G. will be moving out of state probably by September of this year as part of their retirement plan. So, the club is in need of an Associate Treasurer and a Webmaster of the club's website, which is what Jess has done. Also, a Secretary to record and keep Meeting Minutes which is what Martine has done. George asked that everyone think about these open positions and consider volunteering for a position to assist our club.
George requested a motion to adjourn the meeting. Vicki S. motioned to adjourn, Carol 2nd the motion. The meeting was adjourned at 4:30pm
