Weakenders’ Meeting Minutes: June 2, 2021

The meeting was called to order at 5:41pm by Jess G., President. First and foremost, what needed to be addressed was replacements for all officer positions, President, Vice President, Secretary, and of most importance, Treasurer in the club. “Who is interested in volunteering?”
George S. suggested that we change the Treasurer position to strictly that, only handling the money.
There was much discussion by many members as to how to handle other responsibilities the Treasurer has been responsible for: George – suggested once a date and location have been decided upon by members, individuals make their own reservations. Elaine F. – each member is assigned or must choose a month to be Wagon Master. They are then responsible for everything, locate future campground, contact members about future campout, make reservations at campground, set deadline for members to send in payment to them, collect the money (not Treasurer) this money will be turned over to Treasurer later, and to serve as Wagon Master at campout. Using an individual’s personal credit card is done in other camping groups, then the individual is reimbursed later by the Treasurer. Una Mc. – suggested the possibility of our club joining in with another camping club on some future campouts. Stan Mc. – suggested an individual serves as Wagon Master and organizes the outing by choosing a future camp location, selects time frame, make reservation, and takes care of any contract but, the Secretary or Treasurer would be responsible to communicate information to club members, set payment deadline and collect money. Elaine – there will need to be a rule in place, whoever is in charge must reserve future camp site locations 6 – 9 months in advance. Carol – to camp as a group, 10 rigs are usually required to get in and receive a discount. Also, an individual could do all the legwork, location, deadline, reservation, and Treasurer would handle the money and a newly appointed “Manager” would handle contract. Linda N. – suggested forming a committee of 3 or so individuals, President, Vice President, Treasurer to plan out the year, future outings. Maybe meet a few times a year and come up with location ideas, possibly set geographic limitations. Tom H – asked the question, what about new individuals interested in joining our club, how can they join a future campout? Wait until a new outing comes up, or a cancellation is made by a member? Carol – We may be excluding potential members/future members if we go strictly to mid-week camping even though mid-week is cheaper and easier to get in to make reservations.
Ron S. – stated that the identity of the club has changed, evolved. The Bylaws may need to be amended if we do change to mid-week outings instead of weekends. The Bylaws need to be read and addressed.
Tom made a motion to remove the responsibility of arranging future campouts from the Treasurer. Ron S. seconded the motion. All members in attendance voted in favor, yes, to approve the motion.
Jess - stated we will need to meet and discuss how to handle the other responsibilities the Treasurer will no longer be responsible for in the future, beginning January 2022.
Linda N. - suggested forming a committee of 3 or so individuals, President, Vice President, Treasurer to plan out the year, future outings.
Tom – we could make a list of places we have been to the last couple of years.
Jess – initially, stick to what we know to make it easier.
George – we are pretty much set up for a good part of next year with future camp locations. Most in the group are familiar with these campgrounds. Future Wagon Masters are in fairly good shape.

October is Kernville – Balloon Festival in New Mexico is pending, not yet opened for reservations according to Jim B. (not present)
November is Flying Flags
December is possibly Jurupa in Riverside
January 2022 is Canyon RV in Anaheim
February is Tapo Canyon
March is Bakersfield
April is Pechanga
May is Paso Robles
June is Morro Bay
George stated that Pechenga next year will be Sunday through Tuesday, 4/3-4/5, 2022 in Row A. Anyone interested must make their own reservation. Cancellation policy is 72-hour notice for refund. If you have Passport America, the cost is half price.
Jess stated we need to elect a Treasurer tonight. Based on the newly adjusted responsibilities, only keeping track of money, are there any nominations? Any volunteers?
Carol made a motion that the Officers form a committee of the President, Vice President, Treasurer, and Assistant Treasurer to go over, discuss, and decide how to handle breaking up the other responsibilities, other than handling money, of the Treasurer’s position. Iris S. seconded the motion. All members in attendance voted in favor, yes, to approve the motion.
George volunteered to be the clubs’ next President. Carol nominated George as President. George seconded the nomination. All members in attendance voted in favor, yes, for George to be the clubs’ next President.
Carol volunteered to be the clubs’ next Vice President. Iris nominated Carol as Vice President. Elaine seconded the nomination. All members in attendance voted in favor, yes, for Carol to be the clubs’ next Vice President.
Carol nominated Ron as Treasurer; Jess as Associate Treasurer; George as 3rd, card holder. Tom seconded the nomination. All members in attendance voted in favor, yes, for Ron to be the clubs’ next Treasurer, Jess as Associate Treasurer and George as 3rd, card holder.
Martine G. volunteered to remain as Secretary for one more, final year. Iris nominated Martine as Secretary. Jess seconded the nomination. All members in attendance voted in favor, yes, for Martine to continue be the clubs’ Secretary.
George will contact Carol, Ron, and Jess to arrange a Zoom meeting of the committee on how to handle breaking up of previous responsibilities of the Treasurer.
The meeting adjourned at 7:02pm.
