The meeting was called to order at 4:07pm by President, George S. George began by stating that there still seems to be a possible problem and confusion over the $10 per rig, per outing, surcharge fee when making reservations on your own or when making reservations through the club, whom to pay the fee to, and when to pay it. George suggested that a written policy is needed about the $10 surcharge fee to make details clearer for all. George said that he is willing to put together a draft of this policy and email this draft to all members requesting their input regarding the policy. After everyone has had time to submit their comments back to George on this draft, George will rework the policy if necessary and present it at the next largely attended campout in November (November 8, 9 & 10 at Valencia Travel Village) for a vote by all attending members.
Les H. asked why we couldn’t go back to how this was handled before? This has become too complicated.
Jess G. stated that the $10 fee was added a few years ago because the club’s coffers were being depleted. When making & paying for reservations through the club, the $10 fee is included. When making “On Your Own” reservations this $10 fee is still due and should be paid to the wagonmaster of that trip.
George stated that the $10 fee is necessary, so the club has enough money in its account to cover costs of future campouts that need to be made and paid for 6 months to 1 year in advance.
Future Campouts:
August 7, 8 & 9 Big Bear, Serrano Campground Wagonmaster Gary & Connie H. So far only 3 are attending, Tom & Karen H., George & Vickie S., and Gary & Connie H. Reservations were to be made on your own 6 months ago. If you are interested in attending, you can check online for possible space availability.
George stated he is concerned about why attendance is so low. He wants to find out where people want to go, what are people interested in and how we can increase attendance. Many places require a reservation 1 year in advance. We need to hear where people would like to go and where they are not interested in going. Are we out of sync because the club used to post future campouts 1 year in advance?
September, Ocean Mesa. Check dates with Linda N. wagonmaster. Reservations are to be made on your own.
October4, 5 & 6 Pismo Coast Village wagonmaster Carol M.
George asked if we wanted 2 or 3 nights. He will check to see if three is good for everyone.
Les stated that wherever we go it seems to be either antiques or wineries.
George stated Pismo is diversified, there are many things to do there.
November 8, 9 & 10 Valencia Travel Village.
Jess brought up the subject of the club’s website and whether the club should keep it. Annual cost is roughly $250 to $300. Is the cost worth it? Possibly setting up a Facebook page would be a better option and it’s free. George said originally the website was used as a marketing tool. George suggested bringing this subject up at the November campout.
Jess motioned to adjourn the meeting, Una Mc second the motion.
