Thank you to our Wagonmaster Kathy Miller for hosting. Kathy provided a fun Trivia game prior to our Saturday evening meeting. Following the meeting, we all went out to eat at Casa De Lago Mexican Restaurant in Oak View.

Meeting on November 7, 2023 called to order by President Gary at 6:45 pm.

George gave the Treasurers report. We have $4467.22 in our account. George provided a handout for updating our Bylaws regarding Article 3: Members. Linda will email George a PDF file of the current Bylaws dated 1/9/2010, to be updated, defining both active and alumni members and their dues for clearer understanding. George was thanked for his hard work on this draft.

Linda introduced a motion to reduce our yearly dues to $50. Carol seconded and Connie affirmed the motion. Short discussion, two members were not in agreement. One indicating to leave at $80 and the other at original $35 amount. All the other members present were in agreement to reduce dues to $50. The motion passed.  Club dues will be payable to the Treasurer and due the first of the New Year in 2024.

Meeting on September 6, 2023 called to order by President Gary at 6:07 pm.
 
Brief discussion regarding club communication.
 
George needs $160.00 for November campout at Golden Shores. Contract indicates we need at least 5 rigs to show or pay additional $20 each. Elections being held and if we don't get officers the club may have to dissolve. George urged all to attend in November.
 
Tom brought up discussion to either have club meet on weekends or weekdays. Difficulty getting reservations on weekends was discussed.
 
George reported treasury balance is approximately $4300. Following Golden Shores in November projected balance will be $3500.
 
Wagonmaster signups for 2024 was discussed as follows.
 
Dark in January and February due to unpredictable weather.
 
March - Casitas - Kathy
April - Pechanga - George to find out availability
May 6-9 - Morro Dunes RV Park with clubhouse - 7 spaces reserved - Connie

Meeting on May 10, 2023 came to order at 3:15 pm by President Gary.

Discussion to lower the dues from $100 down to $80 in 2024 because of less camping
dates. Also discussed dues for occasional alumni members (over 5yrs with the club) to
be charged $10 each campout. Motion was made to formulate alumni and first time
campers to be charged the same $10 fee. George made motion and Gary seconds it.

Discussion to go dark during rainy months of January and February starting in 2024.

Review of the rest of the year. Golden Shores in October cancelled due to non-
attendance. Golden Shores rescheduled to November 6-8, 2023 for our holiday dinner.

Les volunteered to be Wagon master for a campout to Tehachapi in October.

A complete list will be sent out by Carol of the planned outings for 2024.

Discussion to book the following for 2024: Casitas in March, Pechanga in April, Morro
Bay in May, June open, August Avila Beach, Sept Pismo, October Jalama, and
November Flying Flags.

Discussion to attend Jalama Beach August 7-10, 2023. Call on own through County of
Santa Barbara. Santa Barbara County Parks (sbparks.org) Upper cliff has hookups.

Meeting was called to order and previous minutes were read by Linda and approved. It was noted that 4 rigs have not paid their dues of $100.00 per year.   Connie and Linda were asked to call those members who have not paid their annual dues and request that they get on board to support the club. New members or invited guests are to be allowed 2 free visits to check out the Club and decide if they want to be members  . After their initial visits a prorated amount of dues will be considered based on how many months are left in our year. Membership is based on the 10 months we are active.

A long discussion was held regarding membership. We do not want the dues to be regarded as punitive but want everyone to realize and appreciate that the club has on going and upcoming obligations and expenses in excess of the one time charge we have been asking for from nonmembers. Our dues represent our desire to show outreach to new members . We wanted to recognize that a prorated membership scale may be appropriate for the second half of the year instead of requiring full $100 dues. We are trying to be as fair to as many members as possible while being able to support the club ongoing. We need those dues to continue to be a viable Club.

Linda thanked Tom and Karen for their Wagonmaster duties. I introduced Steve and Judy Gordon. They have expressed interest in our group.

I reminded members to get their dues in and sign up for Wagonmaster.

Kathy asked if she could pay $10 a campout rather than the $100 yearly dues. I told her it had already been decided and voted on to increase the dues. I also explained that it was necessary to plan out trips far in advance with that money.

Les brought up, why don’t we go to Tehachapi? Les said his idea was turned down in the past.

George could not attend meeting tonight due to illness.

Meeting was adjourned at 6:48pm.

President George started the meeting by handing out a “Guidelines and Duties of a Wagonmaster” bulletin to each member and encouraged everyone to sign up to be a Wagonmaster for at least one campout.
 
He introduced Sherry as a guest.
 
First on the agenda was the election of Officers.

Ron gave the Treasurer’s report – We now have $3,000 in our account.   There was a lengthy discussion on how much money is needed in the account to be able to cover upcoming campouts. At this point we can only cover maybe 2 reservations in advance. The $10 per rig is necessary to grow our account to provide greater resources and actually plan beyond 3 or 4 calendar dates.

Carol discussed one option to minimize the challenges the club faces trying to collect the $10 each month. Because we often have campouts that are paid directly by each rig to the camp site, it is difficult to gather those payments. Several times some of those amounts were never collected. Carol made a motion to increase the dues from $35 to $100 which is due in January 2023.  Most of the attendees agreed this would be a solution to the challenge.

With the new amount there would not be any $10 extra fee included in each campout.   This would give the club enough money in the account to cover upcoming campouts.

The next item for discussion was to decide to keep the Web Site or not.

It was discussed that several people have found our group from that site and it would be a good idea to continue with it.  There is a cost of approximately $300 per year to maintain it.  It is a helpful tool to acquire new members.   Ron volunteered to keep it up to date. Using a Facebook account was suggested as an alternative, but members felt that site would be much more public than what we would want.
Ben made a motion to retain the Web site. Membership voted to keep it.

Here is a brief summary of our meeting. No minutes were officially taken.
There was a discussion about lack of participation both in attendance and involvement.
George made a suggestion about picking straws for wagonmaster before the new year so it would be fair for all.
Carol and George are working on coming up with possible venues for the new year.
Since collecting the $10 per rig has become problematic in terms of logistics, there was a discussion of possibly raising the cost of membership to make this easier.
Carol mentioned some of the points of interest in the upcoming Pismo Campout
Ron reminded all that the deadline for the November campout is fast approaching and checks need to be in by the end of the month. This is an important campout as we vote for new officers and decide the direction for the club

The meeting was called to order at 4:07pm by President, George S.  George began by stating that there still seems to be a possible problem and confusion over the $10 per rig, per outing, surcharge fee when making reservations on your own or when making reservations through the club, whom to pay the fee to, and when to pay it.  George suggested that a written policy is needed about the $10 surcharge fee to make details clearer for all.   George said that he is willing to put together a draft of this policy and email this draft to all members requesting their input regarding the policy.  After everyone has had time to submit their comments back to George on this draft, George will rework the policy if necessary and present it at the next largely attended campout in November (November 8, 9 & 10 at Valencia Travel Village) for a vote by all attending members.
 
Les H. asked why we couldn’t go back to how this was handled before?  This has become too complicated.
 
Jess G. stated that the $10 fee was added a few years ago because the club’s coffers were being depleted.  When making & paying for reservations through the club, the $10 fee is included.  When making “On Your Own” reservations this $10 fee is still due and should be paid to the wagonmaster of that trip. 

George stated that the $10 fee is necessary, so the club has enough money in its account to cover costs of future campouts that need to be made and paid for 6 months to 1 year in advance.


Future Campouts: 

August 7, 8 & 9 Big Bear, Serrano Campground Wagonmaster Gary & Connie H.  So far only 3 are attending, Tom & Karen H., George & Vickie S., and Gary & Connie H.   Reservations were to be made on your own 6 months ago.  If you are interested in attending, you can check online for possible space availability.

George stated he is concerned about why attendance is so low.  He wants to find out where people want to go, what are people interested in and how we can increase attendance.  Many places require a reservation 1 year in advance.  We need to hear where people would like to go and where they are not interested in going.  Are we out of sync because the club used to post future campouts 1 year in advance? 

September, Ocean Mesa.  Check dates with Linda N. wagonmaster.   Reservations are to be made on your own.

October4, 5 & 6 Pismo Coast Village wagonmaster Carol M.
George asked if we wanted 2 or 3 nights.  He will check to see if three is good for everyone.

Les stated that wherever we go it seems to be either antiques or wineries. 

George stated Pismo is diversified, there are many things to do there.

November 8, 9 & 10 Valencia Travel Village.


Jess brought up the subject of the club’s website and whether the club should keep it.  Annual cost is roughly $250 to $300.  Is the cost worth it?  Possibly setting up a Facebook page would be a better option and it’s free.  George said originally the website was used as a marketing tool.  George suggested bringing this subject up at the November campout.

Jess motioned to adjourn the meeting, Una Mc second the motion.
